OAK the studio — Studio Hire Terms & Conditions
By proceeding with a booking at Oak The Studio, the hirer agrees to the following terms and conditions. These policies are designed to protect the studio, its property, and its operations.
1. Booking & Payment
• Full payment is required upfront to secure your booking. No tentative or unpaid bookings will be held.
• All bookings are final and non-refundable.
• Bookings may be rescheduled once, with a minimum of 72 hours’ notice and subject to availability.
• Rescheduling requests made within 72 hours of the booking will not be eligible for credit or transfer.
• Bookings are non-transferable to another party unless approved in writing.
2. Cancellations & No-Shows
• All cancellations are strictly non-refundable.
• No-shows or failure to attend the booking will result in full forfeiture of the booking fee.
• In the rare event Oak The Studio must cancel a booking due to unforeseen circumstances, a full refund or reschedule will be offered at no additional charge.
3. Studio Access
• Access is permitted strictly for the confirmed booking period.
• Early entry or late exit without prior written approval will incur additional charges at the standard hourly rate plus a penalty fee.
• Any additional time must be requested in advance and is subject to availability.
4. Studio Use
• The studio must only be used for the purpose stated at the time of booking (e.g., photoshoot, event, filming). Changes to the purpose must be approved in writing.
• Subletting or sharing the studio with unapproved third parties is prohibited.
5. Condition & Cleanliness
• The studio must be returned in the same clean and orderly condition it was provided.
• A minimum $200 cleaning fee will be charged if the space is left excessively dirty, untidy, or if large items or props are not removed.
• The studio does not provide rubbish bins. All rubbish, including packaging, food waste, and props, must be removed from the premises by the hirer.
• No rubbish is to be dumped outside the studio or in surrounding areas.
• Dumping rubbish externally may result in a council-issued fine of up to $30,000, for which the hirer will be held fully liable.
• Oak The Studio accepts no responsibility for any fines, penalties, or legal action arising from the hirer’s failure to comply with rubbish disposal rules.
6. Damage & Loss
• The hirer is fully liable for any and all damage, breakage, or loss caused to the studio, furniture, equipment, fixtures, walls, floors, or property during the hire period.
• Oak The Studio reserves the right to assess damages and issue an invoice for the full cost of repair, replacement, and any associated loss of income due to studio downtime.
• Theft, vandalism, or malicious damage will result in legal action.
7. Liability & Insurance
• The studio is used at the hirer’s own risk. Oak The Studio accepts no responsibility for personal injury, death, loss, or property damage incurred by the hirer or their guests.
• Hirers are strongly encouraged to obtain public liability insurance to cover their activities and third-party personnel.
• Oak The Studio is not liable for cancellations caused by power outages, natural disasters, government restrictions, or other events outside its control.
8. Third Parties, Vendors & Guests
• All external vendors, contractors, and service providers brought into the premises are the full responsibility of the hirer.
• Children must be strictly supervised at all times. Oak The Studio accepts no responsibility for their care, conduct, or safety.
9. Prohibited Activities
• Smoking, vaping, consumption of alcohol, illegal substances, open flames, glitter, confetti, and any hazardous materials are strictly prohibited inside or outside the studio.
• Noise must be kept to a reasonable level to avoid disturbing neighboring properties.
• Activities that pose safety risks or potential damage must be pre-approved in writing.
10. Security & Surveillance
• Oak The Studio is fitted with security cameras for safety and security purposes.
• Footage may be reviewed and used as evidence in cases of damage, theft, breach of terms, or legal investigations.
• For large events or high-risk activities, additional security personnel may be required at the hirer’s expense.
11. Non-Payment, Breach & Legal Action
• If full payment is not received before the hire date, the booking may be cancelled without notice.
• Any outstanding payments, damage costs, penalties, or fines incurred will be invoiced and must be paid promptly.
• Failure to settle outstanding debts may result in debt recovery action and/or legal proceedings. The hirer will be responsible for all associated recovery costs, including legal fees.
• Breach of any of these terms may result in immediate termination of the booking without refund and potential exclusion from future bookings.
12. Acceptance of Terms
By proceeding with a booking, the hirer acknowledges that they have read, understood, and agreed to comply fully with these terms and conditions.
